I collect only what I need, store it securely, never sell it, and you can ask me to delete it at any time. Health coaching requires me to hold some sensitive personal information about you — I take that responsibility seriously.

What Information I Collect

When you complete my client intake form:

· Your name, age and contact details

· Information about your lifestyle, energy, sleep and stress levels

· Health-related information including hormonal health, medical conditions, medications and symptoms

· Your goals and previous health history

When you contact me by email or enquire about my services:

· Your name and email address

· The content of your messages

When you attend a supper club or event:

· Your name and contact details for booking and communication purposes

When you visit my website:

· Basic analytics data (page visits, traffic sources) — this does not identify you personally

Why I Collect It and My Lawful Basis

Under UK GDPR, I must have a lawful reason for holding your data:

Health & lifestyle information

Why: To provide personalised coaching support

Why: To communicate with you about your coaching

Health information is classified as special category data under UK GDPR. I only collect it with your explicit consent, given via the checkbox on my intake form.

How I Store Your Data

Your intake form responses are collected via Tally (tally.so), a GDPR-compliant form builder based in Belgium whose servers are located within the European Union. Data stored in the EU meets

UK GDPR adequacy standards. Client records and session notes are stored in password-protected files accessible only to me.

Email correspondence is stored within my secure email account.

I do not use unsecured storage such as unprotected spreadsheets or paper records.

Third party processors I use:

· Tally (form collection) — EU based, GDPR compliant

· Google (Gmail and Google Sheets)

I do not sell, rent or share your personal data with any other third parties.

How Long I Keep Your Data

Active client records: kept for the duration of our coaching relationship

Records after coaching ends: kept for 3 years, then securely deleted

Enquiries that did not convert to clients: kept for 6 months, then deleted

Event booking information: kept for 6 months after the event

Marketing email list: kept until you unsubscribe or request removal

When data reaches the end of its retention period, I permanently delete it from all systems.

Email Communications

There are two types of emails you may receive from me:

Transactional emails — booking confirmations, session summaries, and direct responses to your enquiries. These are necessary for our coaching relationship and do not require a separate opt-in.

Marketing emails — newsletters, event invitations, resources and updates about The Next Chapter. You will only receive these if you have explicitly opted in. You can unsubscribe at any time by clicking the unsubscribe link in any email or by emailing hello@esforyourbesthealth.com

Your Rights Under UK GDPR

You have the right to:

Access — request a copy of the personal data I hold about you. I will respond within 30 days.

Correction — ask me to correct any inaccurate or incomplete information.

Erasure — ask me to delete your personal data.

Withdraw consent — you can withdraw your consent at any time. Please note this may mean I am unable to continue providing coaching services.

Restrict processing — ask me to limit how I use your data in certain circumstances.

Portability — request your data in a portable format so you can transfer it elsewhere.

Object — object to me processing your data where I am relying on legitimate interests.
